Office Administrator

 

Little Monkeys is a family of three nurseries and on site after-school club based in Edinburgh, caring for over 450 children and their families each week.

 

The successful candidate would be predominantly based in a dedicated office in our Little Monkeys Cramond setting, and would be required to visit our other two settings at Prestonfield and Craiglockhart when required. Transportation would be provided where required for this purpose.

 

This is a full time role, Monday to Friday (37.5 hours)

We are looking for an experienced administrator who will become an integral part of the business.

 

No two days will be the same, and the role offers an amazing scope of diverse work, from day to day administrative tasks and social media administration. You will be proactive, extremely organised and reliable.

 

Main requirements:

·        Demonstrable clerical administrative experience within a busy office environment

·        Excellent communication skills both written and verbal

·        Proficiency in Microsoft Office Suite e.g. Outlook, Word, Excel, PowerPoint

·        Multitasking and time-management skills

·        Excellent organisational skills with the ability to prioritise tasks

·        Experience in updating social media feeds and preparing the posts

·        Responsible for ensuring Healthcare plans and Protocols for children and staff are kept up to date, information is shared with appropriate rooms/management and distributed

·        Take notes and type up meetings for all three nurseries. This will include some evening work, possibly twice per month.

·        Assist management with the completion of NAMS and other documentation.

·        Providing administrative support to the manager/deputies and staff where necessary this could involve, typing letters, reports, and filing.

·        Shredding of confidential information and maintaining control of confidential information.

·        Preparing newsletters for all nurseries.

·        Note taking and preparing completed documents from performance reviews and investigatory meetings.

·        Printing photos and laminating.

·        Manage food orders for the nursery and sort and allocate the delivery once received. This includes other deliveries e.g., stationary.

·        Assist with after school care collection when requested by management.

·        Ensure the Fire Alarm maintenance is up to date and carryout any other facility maintenance requests, as directed by Management.

·        Ensure front foyer is maintained with up to date information on display.
