We are looking for an experienced Facilities and Maintenance Manager who will be required to manage all day to day facilities and maintenance issues at all seven of our care units. You will have the support of a maintenance operative and will need to organise a regular and ad hoc maintenance schedule so that all homes remain compliant with CQC requirements and all safety laws. There is an element of on call with regard to this role.

You will need to have already achieved Level four qualification on maintenance or facilities management, have city and guilds or equivalent in buildings, plumbing, gas safety or electrical as well as demonstrable experience in the requirements for this role listed in the person specification below.

You will need to have a full UK driving licence as the role involves you supporting clients with their maintenance issues who live at any of our units and a clean enhanced DBS report (obtained at the point of acceptance of the job offer) due to working with vulnerable adults.

JOB DESCRIPTION


POST:FACILITIES AND MAINTENANCE MANAGER

ACCOUNTABLE TO:Directors

RESPONSIBLE TO:CEO

ROLE:Responsible for all day to day facilities and maintenance issues including the upkeep and repair of all properties either directly or using contractors.
Responsibilities:

1.Complying with all legal obligations for equipment and buildings general maintenance, testing and upkeep.

2.Improvement of maintenance, management of maintenance contractors and managing costs relating to maintenance activities.
3.Service, inspection and certification regime for all units to adhere to all aspects of legal, regulatory, health and safety and codes of best practice compliance of its buildings, major plant and equipment.
4.Performance management and continual review of service and maintenance agreements, relating to all aspects of major plant and equipment for all units.
5.Conducting an inspection at every unit at least once a month to detect and correct all maintenance issues, any unit reporting communication issue for identified damage or repairs that need to be completed.
6.Ensure all maintenance services are delivered in line with service specification and to manage all contractor projects to specified timelines and requirements.
7.Ensure that preventative maintenance schedules are produced maintained and the works needed conducted to a good standard at all units;

8.Ensure that all unit internal environments are maintained by ensuring that basic repairs and redecoration as and when required are completed swiftly using contractors or the Company’s maintenance operative if at EVNH.
9.Ensuring all homes remain in good decorative order at all times;
10.Maintain all unit external environments including, outbuilding and gardens to ensure the smart & welcoming appearance utilising company contractors.

11.Maintaining maintenance logs for all units in liaison with maintenance contractor/QS.

12.Production of Job Sheets for maintenance jobs EVNH only (internal Maintenance staff member).

13.Maintaining and liaison with internal Maint staff member re ad-hoc maint issues and mandatory testing on fire alarms/aid calls/emergency lighting/fire extinguishers

14.Liaison and planning of weekly/monthly/quarterly internal checks by internal Maint staff member such as monthly/weekly water checks/fire door checks/personal alarm checks/sluice cleaning/shower trap cleaning/fire escape cleaning etc

15.Maintaining company Vehicle Log and ensuring vehicles are serviced, MOTd and taxed as and when required in liaison with units/managers and garages

16.Maintaining Fuel Card logs via The Right Fuel Card portal and Blue Badge requirements

17.Maintaining vehicle Breakdown cover & updating records. Liaison with Vehicle Insurance broker re insurance renewals/accidents/etc. and maintaining records

18.Regularly test fire alarm systems and maintain safe fire evacuation processes and procedures;

19.Maintaining records and liaison with:

a.Utilities Brokers re gas/electric supplies to units and obtaining best renewal terms;
b.preferred contractors re mandatory service requirements such as Legionella testing & Risk Assessments/Anti-Scald testing/Boiler servicing and ad-hoc necessary repairs;
c.preferred contractor re mandatory and ad-hoc repairs re Aid Call systems/ Fire Alarm systems/Emergency Lighting & Fire Extinguishers; utilising any relevant business portals

20.Maintaining records, Liaison and planning of:
a.mandatory 5 Year Electrical & yearly PAT Testing with preferred contractor. Check and record all portable electrical appliances that residents bring into any unit;
b.Lift/Hoist/Chair Lift servicing and ad-hoc repairs with preferred lift contractor;
c.mandatory annual Gas Safety checks for commercial kitchens using preferred contractor;
d.mandatory wheelchairs servicing and any other similar equipment and ad-hoc repairs using preferred contractor.

21.Liaison with Insurance Company re annual renewal of company insurance and provided any necessary information to obtain best renewal terms.

22.Liaison and planning of annual Confidential Waste Disposal via preferred contractor and unit managers.

23.Manage internal maint staff re job programming/annual leave/sickness and other employment issues either day to day or longer term including appraisals, personal development and any conduct or performance issues in liaison with HR.

24.Being responsible for liaising with our IT, communications and other contractors for ensuring smooth running of mobile and in situ telecommunications and computer networking, broadband and IT systems.

General

25.Report any potential hazards/risks to your Manager in accordance with Health & Safety Regulations.

26.Maintain all aspects of confidentiality with the service at all times;

27.Document production using Microsoft Office (Excel & Word) and carrying out general office administration duties as and when required by the Company;

28.Superb time management and organisation skills;

29.General office operations, including electronic correspondence, filing & distribution of mail;

30.Undertake training as appropriate.

31.Participate in Staff Appraisal Scheme.

32.Present a positive image to neighbours and the general public.

33.Any other duties reasonably requested by the Operations team.


Person specification

Essential

City and Guilds, BTec, HNC etc. qualification in buildings, plumbing, gas safety or electrical;

Recognised professional qualification in facilities management to at least level 4 or equivalent;

Demonstrable multi-skilled background;

Demonstrable knowledge of health and safety requirements

Demonstrable working knowledge of Health and Safety law, COSHH and fire regulations

Demonstrable ability to meet deadlines and finding solutions for poorly performing contractors

Demonstrable experience of line managing colleagues

Ability to undertake general basic electrical, plumbing, carpentry and/or basic masonry repairs.

Ability to get results with conflicting complex issues and situations

Evidence of multi-site working in past employment history at a managerial or senior supervisory level.

Desirable

Previous experience working for a care home or similar environment

Knowledge of CQC requirements

Any basic HR or management qualification
